JOB PURPOSE

A dynamic and enthusiastic individual working in the existing dedicated tender team responsible for ensuring that tendering and contractual activities are effectively managed from initial tendering stage through to contract handover to the project delivery team, helping the business to win work predominately within the renewable and decommissioning sectors.

PRINCIPAL ACCOUNTABILITIES

​ Preparation and co-ordination of high quality, competitive and winning tender submissions in a structured approach, providing specialist non-technical tendering expertise, coordinating all aspects of the tender in accordance with processes and client requirements

​ Prepare and present kick off meeting to ensure project and scope requirements are communicated appropriately to appropriate departments (projects, QHSE, management) and externally as required

​ Highlight major commercial, contractual or financial risks or issues relating to the tender submission

​ Align and develop a coherent winning bid strategy, sharing ideas to raise the standard of submissions, engaging with the wider bid/project team to ensure all ideas are captured and developed

​ Schedule briefing sessions with tender pursuit team and identify responsibilities and key dates. Collaborate with the tender pursuit team throughout the tender process within budget and in time for necessary approvals to be obtained.

​ Review, clarify and where appropriate challenge responses received from internal support departments and insert qualifications into bid document. Evaluate and clarify sub-contractor responses where appropriate.

​ Consulting and liaising with management, the Client's Legal and Group Insurance teams on key liability and insurance issues, significant disputes and litigation and larger projects and bespoke agreements

​ Identify and review commercial and legal risks via the contract terms and ensuring that opportunities are maximised throughout the contract lifecycle.

​ Coordinate clarification responses during bid evaluation process. Prepare and attend any bid clarification meetings.

​ Ensuring all key progress and approval meetings are held and minutes recorded with appropriate attendees through the tender process

​ Preparation of detailed and accurate cost estimates of defined technical solution(s) including contingency and risk provisions in conjunction with the project manager

​ Regular communication with the client through the tender process to ensure their requirements are being delivered and their expectations are met

​ Review final contract document in conjunction with contracts team and liaise with the client to implement any required amendments to achieve the best commercial position.

​ Arrange de-brief from client and forward feedback to tender pursuit team

​ Drafting and reviewing contractual terms for MSA, project contracts, MoU’s, Confidentiality Agreements, etc.

​ Provide all commercial and contractual advice to management team to assist with pricing strategy

​ Preparation and co-ordination of tender submissions

​ Assist in tender process from submission through to project handover

​ Managing the negotiation of contracts through to conclusion and sign-off, including contract handover process and project delivery

​ Working with our standard terms and conditions and agreements where possible to ensure the business’ interests are protected.

​ Drafting bespoke terms and conditions to ensure subcontract agreements reflect the supply chain risk and allocation of liability as appropriate.

​ Supporting the tendering team where required

​ Reviewing and advising on confidentiality agreements, Client's standard terms and conditions and contract formation including “the battle of the forms”.

​ Ensuring the business complies with the Client's corporate governance processes and procedures including the Group’s compliance agenda and contracting principles.

​ Ensure excellent service delivery in all business lines

​ Develop and deliver an integrated client approach to service delivery

​ Develop and maintain working relationships with internal service functions

​ Participate in any internal or external meetings to support the delivery of projects or support the development of the business

 

DIRECT REPORTS/TEAM

Work in conjunction with the Management, Project & QHSE teams

 

QUALIFICATIONS AND EXPERIENCE

​ Previous experience of developing and coordinating proposals

​ Strong interpersonal skills

​ Experience of successfully building relationships with all levels of staff

​ Ability to work under pressure and to tight deadlines as part of a team

​ Assimilate large volumes of information and understand, plan and manage associated workflows

​ Strong and effective verbal and written communication

​ Excellent time management skills and ability to prioritise

​ Proficient IT skills with MS Office, email and Asset Management systems
